Full-Time Facilities Manager

The Full-Time Facilities Manager is a skilled, flexible, and innovative problem-solver dedicated to maintaining excellence in building systems and the Library facility as a whole. Provides a safe, healthy, clean, and comfortable environment for patrons and staff according to organizational and industry standards.

Reporting to the Director, the Facilities Manager oversees an outsourced cleaning staff, including a Day Porter and nighttime cleaning crew. The Facilities Manager is responsible for all repairs and maintenance issues, the day-to-day appearance of the Library, and coordinating the work of all external vendors and contracts.
 

Duties & Responsibilities

  • Responsible for all aspects of facilities, including preventative maintenance, emergency repairs, and the Library’s physical infrastructure, including mechanical systems, alarms, generators, and general building repairs and upkeep.
  • Oversees outsourced custodial staff, serving as the primary point of contact for quality control and coordination.
  • Maintains relationships with all building vendors and ensures terms of all contracts are upheld; schedules the installation, service, and routine functionality tests of all building systems.
  • Ensures maintenance of Library grounds and prepares for seasonal changes, including lawn and tree care. Responsible for snow removal in the parking lot and all walkways.
  • Manages and responds promptly to building tickets from staff via the Fresh Desk ticket system.
  • Maintains strong, collegial working relationships with all Library staff. Keeps abreast of and advises Library Administration regarding necessary upgrades, repairs, replacements and end-of-life building systems and infrastructure.
  • Manages inventory and places orders for cleaning and other building supplies.
  • Assists with room setups for Library meetings, events, and programs.
  • Responds to alarm calls as needed on a 24-hour and 7-day schedule.
  • Other duties and special projects as assigned.

 

Qualifications & Skills

Degree

  • High school diploma or GED required; certification in Facilities Management preferred.

 

Experience

  • Minimum of 5 years of experience in the commercial building trades.
  • Knowledge of building and safety codes, materials, tools, equipment, and methods used in the custodial and maintenance trades and in the repair and maintenance of buildings and related facilities.
  • Some experience in maintenance trades (carpentry, painting, electrical, plumbing, HVAC) is desired; mechanical aptitude.
  • Strong literacy in Microsoft Office Suite, particularly Word and Excel. Proficiency in general computer and systems knowledge.
  • Knowledge of the types and uses of equipment and materials used in maintenance and repair work, including snow throwers and snowplow.
  • Knowledge of inspections of building, grounds, building systems, and health & safety equipment.
  • Ability to maintain accurate records and documentation.
  • Ability to communicate effectively with colleagues and supervisors.
  • Ability to work independently and proactively with minimal supervision.

 

Other

  • Hold and maintain a valid CT or NY Driver’s Licens

 

Physical Requirements / Working Conditions

  • Must be able to lift moderate to heavy materials up to 75 lbs.
  • Manual dexterity for grasping, fine manipulation, lifting, pushing, and pulling.
  • Ability to continuously bend, twist, squat, and reach.
  • Ability to walk, sit, and stand for extended periods.
  • Close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Comfortable using tools and equipment such as snow throwers, box cutters, ladders, and hand and power tools.
  • Exposure to FDA-approved cleaning chemicals.
  • Ability to maintain composure in every day, potentially stressful situations.
  • ·Ability to work a flexible schedule including nights, weekends, and holidays as needed.
  • Available for 24-hour emergency calls by Library-provided cellphone.

 

Salary

$75,000 to $80,000, commensurate with experience. Benefits package includes generous vacation, sick, and personal leave, excellent health insurance, and participation in the Town pension plan. Eligible for overtime.
